Planning, Team-Building, and Writing: A few days to many months.

Outside editing and revision: 2 to 5 days.

The first draft is unlikely to present your project most effectively. Allow time for others to edit your work and allow time for your subsequent revisions.

Budgeting: 1 to 6 days.

Allow extra time if there are complications like matching requirements, subcontracts, user fees or changes in the project idea.

Campus Approvals and Signoffs: 2 to 4 days.

It is the responsibility of the Project Director/Principal Investigator to obtain all required signatures. These signatures assure the District's support of the project when it is funded. The District reserves the right to withdraw proposals if the approvals are not granted. A concept paper must accompany all proposals when they are sent to the District Office for approval.

Polishing the text: 1 hour to 2 days.

This can be done while signoffs are in process.

Filling out forms and certifications: 1 hour to 2 days.

Most forms are routine, but some ask for special information and take time to prepare.

Contract Negotiations (if needed): days or weeks.

The contract should be submitted to the District Office for review at least four weeks prior to the board agenda deadline. If it is determined that the contract must be reviewed by legal counsel, it may take three to four weeks for this review depending on the complexity of the contract. After the review is completed, you will be provided with a list of the necessary changes to be made to the contract and/or a copy of the contract as annotated by legal counsel. You will then need to notify the other agency of the changes, obtain a new draft of the contract, and forward it to the District Office for a final review. After the contract is satisfactory to both parties, you will need to obtain two copies of the contract that contain original signatures of the other agency. Your campus procedures and deadlines for submitting a board agenda item should then be followed.

Letters, attachments, graphics, bibliographies: several days.

Give your supporters several days to write their letters, and give yourself time for preparing the special items.

Assembly and pagination: 20 minutes to 2 hours.

Appendices, dividers, letters of support, and the like, take extra time.

Photocopying: 10 minutes to 3 hours.

It depends on how many other users need the machine, as well as how complex the document is. If you choose to use a copying service off-campus, OGC will reimburse the cost but you will do the legwork. Color photocopying takes more time.

Packaging and wrapping: 15 minutes to 60 minutes.

Mailing: 1 to 5 days.

For a receipt date, overnight express services will usually work, but earlier is safer.
